요약
  • Dissertations and their reports are deleted after 7 days.
  • Nothing you upload is ever used to train AI models.
  • Handbooks you upload are kept long-term as rule sources — don’t upload files with personal information.

Who we are

The operator of Dissertation Format is the data controller for the personal data described here. Contact us at support@dissertationformat.com.

What we collect

Your email address (to sign you in), the university, department and level you choose, the files you upload, your credit history, and records of payments.

Card details are entered on Stripe’s checkout page and handled by Stripe. We never see or store them; we only receive whether a payment succeeded and how much it was.

To enforce rate limits we store a keyed hash of your network address, never the address itself.

Why we use it and our legal basis

Signing you in and running your account, checking your dissertation, and taking payments: necessary to perform our contract with you.

Rate limits and preventing abuse (hashed network addresses, sign-in attempt records): our legitimate interest in keeping the service secure and available.

Building the library of formatting rules from uploaded handbooks: our legitimate interest in giving every student accurate rules for their course.

Dissertations

Your dissertation file and every issue we found in it are deleted automatically 7 days after upload. We keep only a record that a check happened (date, university, credits used) so your credit history stays correct.

We read your dissertation only to check its formatting. We don’t share it, publish it or keep copies.

Handbooks

When you upload a department or university handbook, we keep the file long-term, privately, as the source of the formatting rules extracted from it. It is never shown to other users; only our reviewers can open it. Other students may see the rules taken from it, with a page reference.

Please upload only official handbooks and guidance, and remove anything personal first — names, student numbers, signatures, marks or feedback.

Not used for training

We never use your dissertation, your handbooks or your account data to train AI models, and we don’t let our providers do so. Where we use an AI model to read a handbook, it is under terms that exclude training on the content.

Who processes your data

Anthropic reads the text of uploaded handbooks to extract formatting rules. It never receives your dissertation or your account details.

Amazon Web Services hosts the service on servers in London, UK, stores its data there, and delivers sign-in codes (Amazon SES), so it receives your email address. Stripe takes payments and receives your email address and payment details.

Each provider receives only what it needs for its task.

Transfers outside the UK

Anthropic and Stripe may process data in the United States. Where a provider is certified under the UK Extension to the EU–US Data Privacy Framework (the UK–US data bridge) we rely on that; otherwise we use the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

How long we keep it

Dissertation files and the issues found in them: 7 days after upload. The record that a check happened stays with your credit history, without the file name.

Sign-in codes: deleted one day after they expire. Signed-in sessions: deleted 30 days after they end or you sign out. Hashed network addresses kept for rate limits: 30 days.

Your account and credit history: until you ask us to delete your account. After that, credit and payment records are kept without your email address to meet accounting requirements.

Handbooks: as long as the rules taken from them are in use, or until you ask us to remove one.

Your rights and how to ask for deletion

Under UK GDPR you have the right to access your data, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format.

To use any of these rights, including deleting your account, email support@dissertationformat.com from the address on your account. We act within one month. Deleting your account removes your email address, signs you out everywhere and deletes your dissertation files; credit and payment records are kept without your email address.

If a handbook you uploaded contains personal information, write to us and we’ll remove the file. Rules we extracted from it may stay if they contain nothing personal.

You can also complain to the Information Commissioner’s Office (ico.org.uk).
